1. Who is responsible
JewelBooks is operated by Sri Guru Jewellers, Navanagar, Hubli, Karnataka. For personal data used to create and run a JewelBooks account and provide the software, the operator decides the purposes of processing. Where a business customer uploads information about its own customers, suppliers or staff, that business customer is responsible for its own notices and lawful authority; JewelBooks processes those records to provide the service and support.
2. Data we process and why
- Account and business details: name, mobile, address, city, business name, GSTIN, password hash, account role and subscription status, used for registration, login, account support and billing.
- Business records entered by customers: invoices, vouchers, customer/supplier details, inventory, ledgers and tax/accounting data, used to operate the requested billing, inventory, reporting and related features.
- Payment and security records: payment/order references, device and authentication events, used for payment confirmation, fraud prevention, account security and legal/accounting records.
- Optional Google Drive backup: only if you press “Connect Google Drive and back up,” JewelBooks asks Google for permission to create and read files that JewelBooks itself creates in your Google Drive (the narrow “drive.file” permission). A copy of your JewelBooks data is then saved from your browser straight to a folder named “JewelBooks Backups” in your own Drive. The backup is optional and is not needed to use JewelBooks.
- Optional AI features: when you use features such as the AI assistant, message polishing, bill photo reading or voice entry, the text, image or audio you submit for that request, and the minimum related details needed to answer it, are sent to AI service providers (currently Google Gemini and Groq) to produce a draft result. AI results are drafts for you to review before use.
- Optional public-site analytics: only if you choose “Allow analytics,” the public website may record page visits using a random browser identifier, page/referrer, browser user-agent and a one-way hash of the network address. Analytics is optional and is not needed to create an account.
Processing is based on your consent where requested, other lawful grounds permitted by applicable law (including specified legitimate uses), and applicable legal obligations. We use information only for the purposes described here or purposes you separately agree to.
3. Service providers and sharing
Information may be handled by hosting/database providers, WhatsApp/OTP messaging providers, payment gateways such as Cashfree, and technical providers needed for features you use. We do not sell personal data. We may disclose it where legally required or necessary to protect users, the service or others. Provider names and processing locations can change; contact us for current details.
Google Drive backup. The Drive connection happens in your own browser. Your Google password is never shown to or stored by JewelBooks. The temporary Google access token is kept only in your browser’s memory and is not sent to or stored on JewelBooks servers. Backup files go directly from your browser to your Google Drive and are not routed through or kept by JewelBooks. JewelBooks can only see the backup files that it created; it cannot see your other Drive files. You can add an optional backup password that encrypts the file before it leaves your browser; if you lose that password the backup cannot be opened, and we cannot recover it. You can stop access at any time at myaccount.google.com/permissions, and you can delete the backup files from your Drive yourself.
JewelBooks’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use Google Drive access only to save and restore your own JewelBooks backups at your request, and do not use it for advertising or sell it.
AI providers. Content you submit to an AI feature is processed by the provider under its own terms and privacy notice. Do not submit information you do not want processed this way. We do not use AI features to make decisions that have legal effect on you.
4. Retention and deletion
We retain account and business information while needed to provide the service, maintain account/security records, resolve disputes and meet applicable tax, accounting and other legal obligations. Some records may need to remain after account closure; we will restrict or erase information when it is no longer needed and no lawful retention reason applies. Optional visitor analytics is retained for no more than 13 months. Backup deletion follows the backup lifecycle and may take longer than deletion from the live system.
5. Security
We use access controls and technical measures intended to protect information, but no online system can be guaranteed completely secure. Use a strong, private password, protect OTPs, and promptly tell us if you suspect unauthorised access. Businesses should avoid entering personal data they do not need for their records.
6. Your choices and rights
You may request access to a summary of your personal data, correction or completion of inaccurate data, erasure where retention is not legally required, withdrawal of consent, or raise a privacy grievance. We may verify your identity before acting. Withdrawal does not affect processing already lawfully carried out, and erasure may be limited for statutory accounting/tax records or another lawful retention reason.
For public-site analytics, use in the footer to reject or withdraw optional analytics. Withdrawing also requests deletion of the analytics events linked to that browser identifier. Include the registered mobile number, request type and enough detail to identify the request; do not send passwords or OTPs.
7. Local storage
Essential browser storage is used for login/session state and saved preferences. Optional analytics storage is separate and only enabled after an affirmative choice. You can clear browser storage, but doing so may sign you out or reset preferences.
8. Children
JewelBooks is a business service and is not intended for children. Please do not create an account or submit a child’s personal data.
9. Updates and grievance contact
We may update this notice when our practices or applicable law change.
